We are now hiring a Contract Manager who will be responsible for the day-to-day management of the contracts, systems management and development, billing, and maintaining the financial integrity of projects.

 

Responsibilities include but are not limited to:

 

  • Develops and directs all required processes to support the work of operations and sales including but not limited to:

 

  •  Monthly project billing
  •  Maintain accurate project financials in job cost system
  •  Daily cash applications
  •  New sale processing: launch meetings and project set up
  •  Monitor accounts receivable
  • Maintain accuracy across job cost and time collection systems
  • Project close out and archival
  • Leads the Contract Management group, working closely with project teams and leadership to support their assigned project objectives.
  • Works collaboratively with the Accounting, Purchasing, Sales and Marketing, Design and Engineering, Production and IT Departments to plan, direct and continuously improve cross-functional processes. Ensures that these processes meet customer needs and are aligned with Corporate and Department goals and objectives.
  • Responsible for the creation, training and maintenance of processes and procedures that facilitate the work of the team. Especially related to best practices related to estimating, creation of new projects, importing budgets, maintaining accurate project financials and invoicing cost plus against a budget, fixed price and time and material projects, preparation of proposals and change requests.
  • Set monthly meetings with direct reports to discuss work objectives, billing challenges and requirements, build common understanding of methods, identify and review ongoing process and system changes, identify team challenges and work to improve upon them.
  • Responsible for initiating annual review of contract documents, terms and conditions and bill rates to reflect current leadership goals and initiatives.
  • Responsible for the preparation and/or review of Master Builder Agreements and other original contract documents for new sales opportunities.
  • Work with Project Managers, Assistant Project Managers and other team members to prepare change requests.
  • Subject matter expert in Computer Ease, Project Pak, UKG-time keeping and DocuSign. Stay current on changes in technology to ensure the organization’s systems and data are being maximized.
  • Coordinates Project Pak software updates with IT Manager.
  • Develops and reports on department metrics to track monthly activities related to: Billing statistics, New sales processing, Close out / archival of completed projects, Accounts receivable – monitor, inquire and report
  • Responsible for training new hires and transfers on operational software in conjunction with onboarding.

 

Education and Skills:

 

  • Bachelor’s degree Business, Finance, Law or related field
  • Proven experience in managing projects
  • Strong leadership skills
  • Detail oriented and ability to think intuitively
  • Able to work collaboratively with a team and leadership
  • Excellent MS Office suite skills
  • Excellent communication skills
